Frequently Asked Questions

At Stionhub, we understand that trusting a third party with your family memories is a significant decision. To ensure total transparency regarding our process in Málaga, we have compiled the most common queries about analog media digitization, delivery timelines, and the security of your original archives.

Reception and Inventory Management

How should I deliver my tapes and photographs?

You can bring your media personally to our studio at Calle Larios or send them via insured courier. We strongly recommend that each batch is accompanied by a descriptive list. Upon receiving the material, our team performs an initial technical inspection to verify the physical condition of the media (checking for mold, breaks, or chemical degradation) and we draft a reception report that serves as the official inventory until the originals are returned.

What happens if my tapes have no labels?

In such cases, we assign a sequential internal code to each piece of media. During the digitization process, the resulting files are named according to this code (e.g., File_001, File_002). We recommend that once you receive the digital material, you review the content to assign definitive names to your memories.

Do you accept any type of analog format?

We currently accept 12 different formats, including VHS, Video8, Hi8, MiniDV, audio cassettes, reel-to-reel tapes, slides, film negatives, and amateur cinema in 8mm and Super 8. If you have a very old or uncommon medium, we suggest contacting us via our contact form to confirm the compatibility of our technical equipment.

Can I request a preliminary review of my materials?

Yes, by coordinating a prior appointment during our business hours (Monday to Friday 10:00 AM to 7:00 PM). A technician will evaluate the state of your media to determine if they require a special cleaning process before digitization, preventing irreversible damage during the playback of the medium.

Timelines and Order Management

How long does the digitization process take?

The average delivery time is 10 days, although the exact time depends on the volume of material and the complexity of the media. According to our operational rules, the maximum execution time is 12 business days. We will notify you via email as soon as your files are ready for download or collection.

Do you offer urgent services?

Yes, we provide a priority delivery option. For orders marked as urgent, a surcharge of 50% is applied to the standard rate. This option significantly reduces the waiting time, subject to the availability of our technical capacity at the time of the request.

What is the payment and deposit policy?

To initiate any digitization project, we require a prior deposit of 30% of the estimated budget. The remaining balance is paid upon completion of the work and before the delivery of the final files and originals. For B2B clients (companies or associations), we offer a payment term of 15 days after the issuance of the invoice.

What happens if I do not collect my originals on time?

Once the work is finished and the client has been notified, we keep the original media in our facilities for a period of 60 days. After this time, the client must contact us to arrange the management of the material. We recommend scheduling the collection as soon as possible to avoid prolonged storage.

Quality, Formats and Technology

At what quality are photographs and slides digitized?

We use high-precision scanners with a resolution of up to 6400 dpi, allowing us to capture the smallest detail of the film grain or the texture of the photographic paper. Depending on your choice, we deliver files in TIFF (lossless) or high-quality JPEG format.

Which file format do I receive for my videos and audio?

For video, the delivery standard is MP4 with modern codecs that ensure compatibility with televisions, computers, and mobile devices. For audio, we deliver WAV (high fidelity) or MP3 files according to the client's preference. All files are organized following the initial inventory description.

How do I receive my final files?

We offer three delivery methods: transfer to a USB device provided by the client, direct download from a secure private cloud (available for a limited time), or via an external hard drive. The delivery method is agreed upon in the initial budget.

Do you perform image or sound improvements?

Standard digitization is a faithful capture of the original. If your tapes have excessive noise, image jumps, or faded colors, we offer a specialized Image and Sound Restoration service. This process is billed per hour of technical work and is detailed in our services section.

Security, Privacy and Originals

Are my personal memories safe in your facilities?

Absolutely. Your media is stored in a controlled and secure environment at our center in Málaga. Access to the materials is restricted exclusively to the technical staff assigned to your project. You can consult full details on the treatment of your data in our Privacy Policy.

What happens to the digital copies remaining on your servers?

We maintain a temporary backup of your digital files during the storage period of the originals (60 days) to prevent any accidental loss during delivery. Once this period has elapsed and receipt is confirmed, we proceed with the secure erasure of the data from our internal servers.

Do you digitize content protected by copyright?

No. At Stionhub, we only digitize personal, family, or professional archival material for which the client holds the ownership rights. We do not make copies of commercial movies, protected music, nor do we remove copy-protection systems. This restriction is essential to comply with current legislation, as detailed in our Terms of Service.

What happens if an original medium is severely damaged and cannot be read?

In the event of detecting a medium in critical condition (for example, degraded tape or severe mold), we inform the client immediately. We attempt to apply non-destructive recovery techniques. If the medium is technically unrecoverable, you will be formally notified, and the material will be returned without a digitization charge, as no final file could be generated.
